March - July
Budget and Fundraising:

Assist Bruce Broderius in soliciting major sponsors
Coordinate direct mail campaign (draft & mail letters, record contributions)
Prepare and insert Borders coupons into program guides
Package CW bullets for sale

Marketing Committee:

Speakers bureau – give presentations, script and visuals provided
Help with brochure and poster distribution
Coordinate parade entry

Children’s programs:

Help Karen Giebler, children’s program chair, to collect and develop materials for hands-on activities

Young Chautauquans:

April – May: Call YCs to schedule Aug. 2 portrayals
July: Reminder call to YCs

Kick-off reception:

Plan decorations for “Gone With the Wind” theme
Phone follow-up to non-responding VIPs, presenters, volunteers, etc.
Prepare name tags for Chautauquans, YCs , other presenters, sponsors, volunteers

Procure items for stage set

Prepare Welcome gift baskets for Chautauqua scholars

Monday, July 31

Pick up sponsor banners

Tuesday, Aug. 1

Hospitality for Chautauquans:

Airport pick-up (+ one pick-up on Wednesday)
Deliver Welcome gift baskets to Country Inn & Suites

Set-up at Aims:

Stage skirt, bunting, other stage set items, podium (?)
Hang sponsor banners
Set up chairs in Big Tent, tables and chairs in side tents

Museum exhibit official opening:

Prepare food, set up and host refreshment table

Kick-off reception / Overview:

Decorate for “Gone With the Wind” theme
Greeting table - distribute volunteer badges, name tags
Assist Ron Edgerton and presenter with reception/program

Wednesday – Saturday, Aug. 2 - 5

Daytime programs:

Assist presenter as needed: set-up, take-down of presenters’ displays, props, etc; sound, A-V equipment; bottled water for presenters 
Hosts for daytime programs: introduce program, distribute programs and presenter hand-outs, distribute and collect evaluations, record # of attendees
Assist with children’s programs and hands-on activities

Evening:         

Assist stage manager, Steve Alkire, with stage set; water for Chautauquans
Rope off Elderhostel section
Hosts for evening programs to distribute programs, distribute and collect evaluations, count and record # of attendees

Man the volunteers central command post:

Distribute & collect program host packets (evaluations, pencils, programs, etc)
Directions or assistance for presenters
Provide security for CEH/HPC supplies, property at information tent
Bullet sales; silent auction bids

Directional Signs:

Hang large HPC banners at sites of each day’s programmin
Post directional signs at building entrances, in hallways, and on doors where daytime programs will be held.

Housekeeping:

Wednesday & Sat. all day and Wed. through Sat. evening: fill water jug at info tent
5:15 p.m.: clean tables in dining tent, replace plastic table cloths if needed
Straighten chairs in Big Tent; trash pick-up

Saturday, Aug 5

Prepare site for afternoon CW military encampments; assist units as needed
Prepare and serve picnic lunch for military re-enactors (~ 20)

Saturday, Aug. 5

9:00 p.m. Take down & stack chairs at Big Tent; take down sponsor banners; trash pick-up

Sunday, Aug. 6

Transport Chautauqua scholars to airport

Monday, Aug. 7
